Interlibrary Loan Services
Everything You Need to Know
Interlibrary Loan (ILL) is a cooperative effort among libraries
to share resources. Through ILL, we are able to borrow materials
for you that are not owned by the RIT Library. At the RIT Library,
ILL Service is provided by the Information
Delivery Services (IDS) department.
ONLY current faculty, staff, graduate and undergraduate students
of RIT may submit requests. Due to the costs involved, alumni, retirees
(except Faculty Emeriti), and community residents are not eligible
for ILL services at RIT and should submit requests through their
public library.
- Material for Institute related work including:
- Books (except those listed below);
- Photocopies of journal articles (within the restrictions of
the copyright law);
- Theses and Dissertations;
- Standards and Patents.
- Items owned by the RIT Library, unless Circulation determines
they are missing (you may request a recall
of an item in circulation by using Einstein
- the library's online catalog);
- Materials for Reserve use;
- Reference books;
- Textbooks;
- Rare books and other fragile or bulky items;
- Entire issues of journals;
- Audio-visual materials (these requests should be made through
the Media Resource Center).
While there is no charge to you for book loans, the cost of an
ILL journal article photocopy is ten cents per page. You will be
expected to pay for your copies when you pick them up. The RIT Library
will pay for all other charges, i.e., loan fees, copyright royalties,
postage, etc. (Faculty/Staff - additional information)
It generally takes 7-10 days to receive your material; however,
it may take much less or much more time, as many factors affect
each request. YOU can speed the processing of your request by filling
out the ILL Request form completely and clearly. If you have a deadline,
be sure to put the latest possible date you can still use the material
on your request form. If you do not have a deadline, please enter
"none". We will make every effort to get your material in time,
including the use of commercial document delivery, fax and Ariel
transmission.
Fill out an ILL Request Form--you may use either the paper or
electronic versions. Paper forms are available at the Reference
Desk; completed forms also may be turned in there. There are
two electronic forms, the Web
version and the Text
Menu version. To use the electronic forms, you must have a RITVAX
computer account. No matter which form you use, please be sure to
check Einstein (the library's
online catalog) to see if we own what you are looking for! If we
determine that the library owns the material, your request will
be cancelled and you will be notified.
Following these simple rules will speed the processing of your
interlibrary loan request:
- Be sure to fill out the form completely and clearly. Incomplete
or illegible forms will be returned to you. Only one request per
form.
- A complete citation must be given--incomplete forms will be
returned to you. Do not use abbreviations for anything that is
written out in full in your source. If the source uses abbreviations,
copy them exactly as they appear.
- You must indicate the source of your reference, e.g., ERIC,
ABI/Inform, CARL,
etc. Include page numbers from printed sources and the abstract
numbers from online or CD-ROM searches such as PsycInfo
(FirstSearch) or Compendex
. Your request cannot be processed if you do not indicate
the source of your reference.
- If your source is a printout from an online or CD-ROM search
and you are using the paper request form, you will speed the processing
of your request if you cut the citation from your printout and
staple it directly to the ILL request form. (You may wish to photocopy
your printout first.)
- Please indicate any deadline or date after which you no longer
will be able to use the material. If you do not have a deadline,
please enter "none". NOTE: Your request will NOT be cancelled
on your deadline date.
- Your request will be checked for accuracy and then entered into
the Interlibrary Loan Subsystem of OCLC, the online bibliographic
database which provides us with nationwide holdings information
for books and journals.
- Five potential lenders will be selected based upon the ILL Code
protocols and our knowledge of who can provide you with the best
service. The system automatically polls each lender until a positive
response is received.
- The lending library will send your material via U.S. Mail or
the local Rochester area delivery service. Fax and "Ariel" transmission
(via the Internet) of photocopied material are other possible
means of delivery.
- In addition to library sources, commercial document delivery
vendors are also used as appropriate to obtain your material.
We will notify you as soon as your materials arrive. Be sure to
note on your request form the best way to reach you -- Phone, Campus
Mail or E-Mail (the preferred method).
FACULTY AND STAFF ONLY, PLEASE NOTE:
- ILL article photocopies will be delivered to your office via
Campus Mail; you will not be notified of their receipt. ILL Books
however, must be picked up and returned by you at the library's
Circulation Desk; you will
be notified when your book is ready for pick-up.
- There is currently no charge to Faculty and Staff for ILL service.
- In order to allocate resources appropriately, we must know the
"COLLEGE at RIT" and "STATUS" of the actual end user of ILL material.
Therefore, if an intermediary (e.g. graduate assistant or secretary)
is filling out the request form for you, please have them indicate
your "COLLEGE" and "STATUS", even if the intermediary's name,
phone, etc. are being entered on the form for purposes of notification
and/or delivery. The "Additional Info" field on the form may be
used for clarifying information.
Photocopies are yours to keep. The due date for loaned material
is set by the lending library and will be indicated on the ILL slip
in your book. Loan periods are usually 2-4 weeks. Make sure to pick
up your materials promptly as the loan period begins when the book
arrives at this library - not when you pick it up. Always return
ILL materials to this library. Do not return them to the lending
library.
Failure to return materials on time jeopardizes the RIT Library's
ability to borrow in the future. If you fail to return materials
on time you willlose both your ILL and RIT Library borrowing privileges.
According to both the local and national ILL Codes, renewals are
discouraged. Please plan to complete your work in the time allowed.
Renewals should be requested only in unusual circumstances and must
be asked for before the original due date. Please direct requests
for renewal to the IDS Department.
Granting of renewals is entirely up to the lending library, which
may, in addition, recall the book for use at their library at any
time during the ILL loan period.
You are responsible for ILL materials from the time you check
them out of this library until they are checked back in. If the
material is lost or damaged while in your possession, you must pay
any repair, replacement, or processing fees which the lending library
charges. Do not return ILL materials in the library's book drops
- they must be brought inside to the Circulation
Desk.
- In some instances, you may prefer to go directly to the library
which owns the material. The "Roaring-Cat"
database can help you locate books and magazines available in
local libraries. "WorldCat", which is one of the FirstSearch
databases lists books and magazines available locally and around
the world.
- Although most area libraries will allow a visitor to use materials
on-site and to make photocopies, you will not be able to check
them out. However, current RIT faculty and graduate students (but
not undergraduates) may apply for a RRLC Access Card at the RIT
Library's Reference Desk which
can be used to check-out material at many local college and special
libraries. For further information about the RRLC Access Program,
contact the Reference Department.
- In addition, this library provides access to a number of full-text
electronic journals which you can access at no charge as well
as the CARL UnCover and FirstSearch databases which allow you
to order jouranl articles with your credit card. A Reference
Librarian will assist you in using any of these sources.
